Secretary typing speed test samples

Twenty sample passages sit in four groups: meetings, letters, diary and travel, records. Every name, firm and number in them is invented. In More options, choose one under Passage, such as Minutes: a motion and a vote. Under a clock, a passage that ends hands over to the next.

Why letters and minutes type slower

As a typing speed test professional letters are harder than plain prose: a colon after the salutation, then Ref:, Enc. and cc: lines and initials at the foot. Minutes add set phrases, times and a vote count.

  • Type the times whole: 2:05 p.m. is a colon, a space and two periods.

Questions and answers

What typing speed does a secretary need?

It depends on the employer. For US federal posts titled (Typing), the Office of Personnel Management standard, which covers the Secretary series, asks for 40 words per minute on a 5 minute sample with three or fewer errors.

Is this an admin typing speed test too?

In content, yes. Administrative assistants and secretaries type the same documents, and these passages cover both. No employer's test is copied here, so treat it as practice.

Will an employer accept this result?

No. Nothing here checks who typed and no certificate is issued. It shows your speed on the kind of document the job involves.

What is hard about typing minutes?

The names and the set phrases. Moved by, seconded by, carried: each pairs a person with an action, and a vote adds figures, such as 4 in favor, 1 against.

All 20 passages

Minutes, agendas and notices 5

  • Agenda: annual meeting of members Seven numbered items, each closed with a period, and two apostrophes: year's and Treasurer's.
  • Agenda: team meeting with timed items A clock time starts each of the seven items, and every one has a colon: Shift and the semicolon key.
  • Minutes: a motion and a vote Moved by, seconded by, carried: set phrases, then a dollar figure and a vote count.
  • Minutes: the last meeting approved Two meeting dates sit close together, and each a.m. takes two periods with no space between.
  • Notice of a meeting The first sentence carries a day, a date, a time and an address. Take its commas one at a time.

Letters with their reference lines 5

  • Letter: confirming a booking in writing An attention line, four clock times, a head count and a purchase order number in one short letter.
  • Letter: cover note for a signed contract An agreement number, a clause number and three page numbers: every digit counts in a contract note.
  • Letter: declining an invitation One date and no other figure. The work is in the commas and in the capitals of five names.
  • Letter: reference, enclosure and copy lines Ref:, Enc. and cc: each end in a mark, and the initials HF/rk mix capitals, a slash and lowercase.
  • Letter: signed for a manager who is away A colon follows the salutation, not a comma, and a job title follows the name at the foot.

Diary, travel and expenses 5

  • Diary entry: a manager's Thursday Eight clock times in one entry. Each needs its colon and its two periods.
  • Expenses cover note Dollar signs and decimals: four amounts, a total and one more charge. The dollar sign is Shift and 4.
  • Out-of-office reply Three dates and two phone numbers, and the word through, not to, between the days.
  • Travel itinerary: two days away Flight numbers, a gate, a seat and a confirmation code: capitals and digits mixed, with semicolons between stops.
  • Visitor schedule for a client's day A schedule in short fragments: each line starts with a clock time and ends with a period.

Filing, mail and supplies 5

  • Contact list entry An email address, two phone numbers and an extension, under labels that each end in a colon.
  • Filing index: where each file lives Drawer letters, a file number with a hyphen, and semicolons inside two of the lines.
  • Handover note for vacation cover Plain instructions with two semicolons. The dates and the phone number match the out-of-office reply.
  • Mail log: the morning's mail Numbered entries with an invoice number, a dollar amount and a tracking code that mixes letters and digits.
  • Supply request A quantity opens every line, then the item, then its details after commas. No. keeps its period.

How this list was compiled: Twenty passages written for this page, in the forms a secretary or administrative assistant types: minutes, agendas, a notice of meeting, letters with reference, subject, attention, enclosure and copy lines, an itinerary, a diary entry, an expenses note, an out-of-office reply, a visitor schedule, a filing index, a contact entry, a mail log, a supply request and a handover note. Every person, firm, address, order number and code is invented, and no passage was copied from a hiring test. Every telephone number is in the range 555-0100 to 555-0199, which is reserved for fictitious use, https://en.wikipedia.org/wiki/Fictitious_telephone_number; the email address ends in .example, a reserved name. That a colon follows the salutation of a formal letter in the United States, and the attention, subject and enclosures lines, were checked against https://en.wikipedia.org/wiki/Business_letter; that minutes record the people present, the call to order, motions moved and seconded, the count of a vote and the time of adjournment against https://en.wikipedia.org/wiki/Minutes; and the order of an agenda (approval of minutes, reports, unfinished business, new business) and timed items against https://en.wikipedia.org/wiki/Agenda_(meeting). The speed quoted on the page is from the US Office of Personnel Management group qualification standard for Clerical and Administrative Support Positions: 40 words per minute for posts titled (Typing), based on a 5 minute sample with three or fewer errors; the Secretary series, GS-318, is among the series the standard covers. Read at https://www.opm.gov/policy-data-oversight/classification-qualifications/general-schedule-qualification-standards/tabs/group-standards/. All read 2026-10-02, and the standard was read again on 2026-10-03. Words and characters were counted, the telephone range was checked and the expenses were added up. Licence: own work
