How it works

This data entry typing test times you on records: customer details, order lines, timesheets and form answers, full of names, figures and dates. Pick a passage, set 1, 3 or 5 minutes, and read your WPM and accuracy.

Accuracy before speed

In data entry one wrong digit makes a wrong record. Every sum in these passages is right, so a total that looks off means a slip. A word counts as wrong if any character is, but its right characters still add to your speed.

Five minutes, like the federal test

The US federal standard for data transcribers measures a 5 minute sample with three or fewer errors. Set 5 min, start on Customer records: new accounts, and let each finished passage roll on to the next.

  • Read one whole record before you type it, then keep your eyes on the text, not the keys.

Questions and answers

How many words per minute does data entry need?

It depends on the employer, so ask. For US federal Data Transcriber posts, the Office of Personnel Management asks for 20 words per minute at GS-2 and 25 at GS-3 and GS-4, on a 5 minute sample with three or fewer errors.

Is this a typing test for data entry jobs?

It is practice for one. The passages copy the shapes a clerk types, but no employer uses this page and it gives no certificate. Ask the recruiter which test they use, and at what length.

Why is my score lower than on a plain test?

Records are full of digits, capitals and symbols that plain word tests leave out, so a data entry typing speed test usually scores below the typing speed test. Compare a result only with another run on records.

All 16 passages

Customer records 4

  • Customer records: address changes Old and new values side by side. The account number is the field that must never be wrong, so slow down for it.
  • Customer records: contact form entries Labels with colons, then free text typed as the customer wrote it. The order numbers are the part a reply will search for.
  • Customer records: membership renewals Money with two decimals, a card ending and a reason in plain words. The $ sign is Shift and 4.
  • Customer records: new accounts Three records in the same field order: name, street, city, state, phone, email, date. Keep the order in your head and the commas come by themselves.

Orders, invoices and returns 4

  • Invoices: monthly services Invoice numbers with a year and a hyphen, then a client, a service and a due date. The three records share a shape.
  • Order lines: coffee shop delivery Units such as gal, oz and lb sit between the digits. Type them in lower case, as written.
  • Order lines: office supplies Quantity, item, price, line total, and a grand total at the end. Every sum here is right, so a total that looks wrong means a typing slip.
  • Returns log: refunds and exchanges A refund less postage: $27.50 minus $4.95 is $22.55. The word less is typed, not a minus sign.

Timesheets and logs 4

  • Mileage log: site visits Distances with one decimal and the unit mi. The month total, 220.0 miles, is the sum of every trip.
  • Stock count: stationery store Locations, then counts. Plurals such as reams, boxes and rolls change with the item, so read each field before you type it.
  • Timesheet: one working week Times with colons, hours with one decimal. Each day is start to finish less lunch: 8:00 to 16:30 less 30 minutes is 8.0 hours.
  • Visitor log: front desk Times in 24-hour form with a leading zero, a name, a reason and a time out. Every record opens with a time.

Forms and survey answers 4

  • Job applications log Reference numbers, dates, a post and a status. The status words, interview, rejected and awaiting, repeat, so they get faster each time.
  • Lost and found log Item numbers, a plain description and two dates. Found and claimed dates are the pair that must match the paper slip.
  • Registration forms: evening classes Class, day, name, age, level and fee. Paid and due look alike at speed; the fee status is the field a school chases.
  • Survey answers: event feedback Ratings as digits with of 5, then short comments. Comments are typed as given, even when they are brief.

How this list was compiled: Sixteen passages written for this page, each a run of three to five records in one shape: customer records, order lines and invoices, timesheets and logs, and forms and survey answers. Every person, business, street, account, order and reference number is invented. Phone numbers use only 555-0100 to 555-0199, the range the North American Numbering Plan Administrator reserves for fictitious numbers (https://en.wikipedia.org/wiki/Fictitious_telephone_number, read 2026-09-24), and email addresses use example.com, a domain reserved for examples (RFC 2606), so no record reaches a real person. No passage was copied from a hiring test. Every sum, hour and mileage total in the passages, the phone block and the word and character counts (a character is one keystroke, spaces included) were checked, and every group holds 1,000 characters or more. Speeds quoted on the page: the US Office of Personnel Management group qualification standard for Clerical and Administrative Support Positions asks a Data Transcriber, GS-2 to GS-4, and any post titled (Data Transcription) for skill on an alphanumeric data transcribing machine, or a typing speed of 20 words per minute for GS-2 transcription duties or 25 words per minute for GS-3 and GS-4; words per minute are based on a 5 minute sample with three or fewer errors. Read at https://www.opm.gov/policy-data-oversight/classification-qualifications/general-schedule-qualification-standards/tabs/group-standards/ on 2026-09-24. It covers US federal posts only.
